Full-Service Bookkeeping and Financial Operations for SMBs
MoneyWise provides bookkeeping, payroll, invoicing, tax filing support, financial reporting, and financial operations services for Canadian SMBs.
These Terms & Conditions explain how our bookkeeping and financial management services operate, including service scope, client responsibilities, payment terms, compliance workflows, and use of financial software and AI-assisted tools.

1. Agreement
By checking the acceptance box and completing payment, you agree to these Terms & Conditions between MoneyWise (“we,” “us,” “our”) and the client (“you,” “your”).
These Terms apply to all bookkeeping, payroll, invoicing, bill management, tax filing, reporting, and financial insight services provided by MoneyWise.
2. Bookkeeping & Financial Operations Services
MoneyWise provides all-in monthly bookkeeping and financial management services for a fixed monthly fee.
Depending on your business needs, services may include:
- Bookkeeping services
- Bank and credit card reconciliation
- Transaction categorization
- Payroll processing
- Payroll remittance calculations and submissions
- Invoicing and bill management
- GST, QST, PST, and HST filing support
- Weekly operational updates
- Monthly financial reporting and summaries
- QuickBooks Online setup and migration
- Financial visibility and operational support
3. Current Month Forward Scope
MoneyWise services begin from the current month forward.
Past periods, historical bookkeeping cleanup, prior corrections, or work related to previous months are not included unless separately agreed in writing.
If historical bookkeeping work is required, MoneyWise may provide a separate quote before beginning that work.
4. Monthly Pricing & Payment Terms
The monthly service fee is: $500/month
Payment is due before services begin for each monthly period.
MoneyWise may pause bookkeeping, payroll, reporting, tax filing, or other financial operations services if payment is late or incomplete.
5. Included Monthly Limits
The base monthly package includes work within the following limits:
- Up to 100 transactions per month
- Up to 5 employees
- Up to 10 invoices per month
- Up to 10 bills per month
- If your activity exceeds these limits, MoneyWise may adjust pricing or quote additional work before continuing services.
6. Client Responsibilities
You agree to provide accurate, complete, and timely information necessary for bookkeeping, payroll, reporting, tax filing, and financial operations management.
You are responsible for providing:
- Accounting software access
- Bank and credit card feed access
- Payroll information
- Employee information
- Invoice details
- Supplier bills
- Tax account access where required
- Supporting documents upon request
- MoneyWise is not responsible for delays, errors, missed deadlines, penalties, or incomplete filings caused by missing, late, inaccurate, or incomplete information provided by you.
7. Software & Third-Party Costs
You are responsible for any required software subscriptions or third-party costs, including but not limited to:
- QuickBooks Online subscriptions
- Payroll software or payroll modules
- Payment processing fees
- Additional approved integrations or apps
- MoneyWise may recommend QuickBooks Online as the preferred bookkeeping and financial reporting platform, but software subscriptions remain your responsibility unless otherwise agreed.
8. Payroll Processing Responsibilities
MoneyWise may process payroll based on the information you provide.
You are responsible for confirming:
- Employee details
- Hours worked
- Salaries
- Bonuses
- Commissions
- New hires
- Terminations
- Payroll changes
- Tax forms
- Direct deposit information
- MoneyWise is not responsible for payroll errors caused by incorrect, incomplete, or late payroll information submitted by you.
9. Sales Tax Filing & Compliance Support
MoneyWise may file GST, QST, PST, or HST returns based on the bookkeeping records and information available.
MoneyWise does not provide advanced tax planning, legal advice, audit representation, or CPA-level review unless separately agreed.
You remain responsible for the accuracy of the information submitted to tax authorities, including CRA and Revenu Québec.
10. CPA Review & Tax Filing Services
CPA review, corporate income tax filing, personal tax filing, advanced tax planning, and year-end accounting services are not included in the monthly bookkeeping package unless separately agreed.
These services may be available at custom pricing.
11. Invoicing & Bill Management
MoneyWise may create invoices, enter bills, track due dates, and match payments based on the information you provide.
MoneyWise is not responsible for collecting unpaid invoices, negotiating with customers, approving vendor payments, or making payment decisions unless separately agreed.
12. Financial Reporting & Insights
MoneyWise may provide weekly operational updates and monthly financial reporting summaries.
These reports are intended for general business visibility and operational decision support.
They do not constitute legal, tax, investment, or professional accounting advice.
13. Use of AI & Automation
MoneyWise may use AI tools, automation systems, and software features to support bookkeeping workflows, reporting, communication, and internal operational processes.
AI-assisted outputs are reviewed before being used for client-facing work.
MoneyWise does not rely on AI as the final authority for bookkeeping, payroll, reporting, or tax decisions.
14. Communication & Operational Workflow
To maintain organized financial operations and efficient service delivery, you agree to use the provided forms, shared folders, and approved communication channels.
MoneyWise may consolidate requests or questions into organized communications rather than responding to multiple fragmented messages.
15. Filing & Reporting Deadlines
MoneyWise will make reasonable efforts to meet payroll, tax filing, bookkeeping, and reporting deadlines.
You must provide required information in a timely manner.
MoneyWise is not responsible for penalties, interest, missed filings, or delayed reporting caused by late or incomplete client information.
16. Confidentiality
MoneyWise will treat your bookkeeping, payroll, financial, operational, and business information as confidential.
Information will not be shared except where required to:
- Provide services
- Comply with applicable law
- Work with approved software providers
- Coordinate with payroll providers
- File with tax authorities
- Work with professional advisors where appropriate
17. Data Security
MoneyWise takes reasonable measures to protect bookkeeping, payroll, financial, and business information from unauthorized access, misuse, disclosure, or loss.
You are responsible for maintaining appropriate access permissions and secure account credentials.
No electronic system can be guaranteed to be completely secure.
18. Limitation of Liability
To the maximum extent permitted by law, MoneyWise is not liable for indirect, incidental, consequential, special, or punitive damages.
MoneyWise’s total liability for any claim is limited to the amount paid by you to MoneyWise during the three months preceding the claim.
19. No Guarantee of Results
MoneyWise does not guarantee business growth, financing approval, tax savings, profitability increases, or specific financial outcomes.
20. Cancellation
You may cancel monthly bookkeeping and financial operations services with written notice.
Cancellation takes effect at the end of the current paid monthly period.
Fees already paid are non-refundable unless otherwise agreed.
MoneyWise may cancel services if:
- Payment is not received
- Required access is not provided
- Information is repeatedly late or incomplete
- The working relationship becomes unmanageable
- Work outside the agreed scope is repeatedly requested without approval
21. Updates to Terms
MoneyWise may update these Terms & Conditions from time to time.
The version accepted at checkout applies to the current service period unless a newer version is accepted by you.
22. Governing Law
These Terms are governed by the laws of Québec and the applicable laws of Canada.
23. Acceptance
By checking the acceptance box and completing payment, you confirm that:
- You have read these Terms & Conditions
- You agree to be bound by them
- You are authorized to enter into this agreement on behalf of the business
- The information provided to MoneyWise will be accurate and complete
